Teachers and Levels: the Coordinator's View

Teachers and Levels: the Coordinator's View

Teachers and levels: the coordinator's view

Two pages help a coordinator who looks after several teachers and levels:

  • Teachers shows what each teacher set and how their students did.
  • Levels and progression compares your levels side by side and follows each student from one level to the next.

Open them from the organization dashboard: Institute Management → Teachers, or Institute Management → Levels and progression.

Before you start

  1. Make one course per level. If a level runs in cycles, make one course per level and cycle, for example "Level 3 – Cycle 2". Use Institute Management → Manage Courses → Create New Course.
  2. Put the teacher on each course. Edit the course and set its instructor email to the teacher's PrepareBuddy email. That is how a course shows up as the teacher's.
  3. Add your students to the right course. Use Add Student, or link the level's Google Classroom class to the course (see Google Classroom for your organization). New students in the class are then added by themselves.

Teachers need the Examiner role, and coordinators the Admin role.

Teachers

The Teachers page has one row per admin and examiner:

Column What it shows
Courses The courses that list this teacher as instructor
Tests assigned Tests this teacher assigned in the chosen period
Students How many different students those tests went to
Completed How many of those tests were finished
Average result The average result of those finished tests
Tasks marked Writing and speaking Tasks this teacher marked and published, and their average
Classroom assignments Activities this teacher published to Google Classroom

Choose the period at the top: the last 30 days, 90 days, 12 months, or all time. The period counts work by when it was assigned.

Select a teacher's name to open their page. It shows:

  • each of their students: tests assigned, completed, average result, the change from their first result to their latest, and their last result;
  • Needs attention, for a student whose average is below 50%, or whose latest result is 10 or more points below their first;
  • a weekly average for the last 12 weeks, recent results, and the teacher's Tasks.

Select a student's name to open them in Student Management.

Who can see what: admins see every teacher. A teacher who opens Teachers is taken to their own page and cannot open anyone else's.

Levels and progression

The Levels and progression page has one row per course:

Column What it shows
Students Everyone enrolled in the course, and how many are current
Took a test Students with at least one result in this course
Results Results counted for this course
Average result The average of each student's average in this course
First → latest How much students' latest result differs from their first in this course
Need attention Current students averaging below 50%, or 10 or more points down
Moved on to How many students went on to another course afterwards, and the most common ones

Select a course to open its analytics. Untick Include finished courses to see only the courses running now.

How results are counted: a result counts for the course the student was in on the day they took the test. A student who moves from Level 2 to Level 3 is counted in Level 2 for their weeks there and in Level 3 after that, never twice. Only tests of the course's type count, so an IELTS course counts IELTS tests.

One student's journey: type a name or email under One student's journey and choose Find. You see each course the student took, in order, with their dates, status, number of results, average and latest result.

How results are shown

  • Results are shown as a percentage of each test's own scale, so different tests can be compared: 6.3 out of 9 in IELTS is 70%.
  • If an examiner adjusted a result, the adjusted score is used. It is the score on the result page, the PDF and in Google Classroom. The Analytics page and its Excel and PDF reports use it too, and mark the results an examiner adjusted.

Use the same figures in your own systems

The Results API gives each result with the same context:

  • assigned_by: the teacher who set the work;
  • courses: the level the student was in that day;
  • classroom_class: the Google Classroom class, if any;
  • final_score and final_percentage: the score of record, including examiner adjustments.

The result.final webhook sends the same fields when a result is ready.
